How contacts are made
Every named ticket holder joins your contacts the moment they register, matched by email. The buyer joins from the order. Contacts belong to your organization.
On this page
Your contacts build themselves. When someone registers, every ticket with a named holder adds that person to your list at once, and the buyer joins from the order. A registration with an email already on your list joins that contact instead of making a new one.
Who becomes a contact
- The buyer, from the order, whether or not they keep a ticket.
- Each guest named at checkout, with their own name and email.
- Anyone you add to an event by hand.
An extra ticket nobody named stays on the buyer's order and adds no one. Name it later and that person joins then.
A request joins your list only once you approve it.
How Ovante matches
One email is one person. A registration with an email that's already on your list joins that contact, whatever else it says. Your contact matching settings can ask for more, such as the phone, but a mismatch never holds anything: the registration joins and Review gets a suggestion you can split off.
A registration with no email either joins as a contact without one, flagged on Review, or doesn't join at all. You choose which.
A guest never takes the buyer's phone. If Dana buys for Avi and Avi gives no phone, Avi's contact has none.
Other ways in
- New Person on the Contacts page, to add someone by hand.
- Import, to bring in a list from a CSV. See Import contacts.
- Joining your membership, which makes the member a contact.
Contacts belong to the organization
Your list is one list for the whole organization. A contact doesn't belong to the teammate whose event brought them in, and everyone whose role can see contacts sees the same people. See Roles and permissions.
Spending and attendance
Money counts toward the buyer; events attended count toward each ticket holder. Dana's contact shows what Dana spent on the order. Avi's contact shows the event Avi came to.
The rules behind this page
- When
- A ticket with a holder is booked
- Then
- The holder joins your contacts at once, matched by email, and the buyer joins from the order. A request joins only when you approve it, and an unnamed ticket not at all.
- When
- A registration arrives with no email
- Then
- With Add the contact, it joins as a contact without an email and Review flags it until you add one. With Don't add, no contact is made.
- When
- A registration has a contact's email but a different phone or last name, and Contact matching compares them
- Then
- It joins that contact anyway, and Review lists it under "Same email, different details" for you to mark Same person or Split off. Nothing waits.
- When
- A guest with a name or email gives no phone
- Then
- Their ticket has no phone. A named guest never takes the buyer's number, so Review never flags them as the buyer's duplicate.
- When
- Someone buys tickets for other people
- Then
- The money counts on the buyer's contact. Attendance counts on the contact of each person named on a ticket.
