Set up tables

Add your tables in bulk in the seating editor, then give each one a number, seats, a name, a zone, notes, or a lock that keeps auto-seat away from it.

Seating starts with tables. Add them in one go in the seating editor (say, forty tables of ten), then adjust the few that differ: the head table, a sponsor's long table, the one by the stage.

Open the seating editor

  1. 1
In the event, open Guests → Seating. The page counts what's Seated, your Tables, Seats left and Requests.
  2. 2
Click Open seating editor. It opens full screen.

Add tables

  1. 1
In the editor's top bar, click Add tables.
  2. 2
Set how many Tables and the Seats at each. Ovante suggests enough tables for everyone not yet seated.
  3. 3
Optional: give them a Zone (optional), like Front or Stage left.
  4. 4
Check the line that says which numbers they'll get, then click Add with the number of tables. They appear in the middle of the screen as cards.

New tables are numbered after your highest table. Run Add tables again for a second batch with a different size or zone.

Edit a table

Click a table's card. The panel on the right shows its settings, and each one saves when you leave the field:

FieldWhat it's for
NumberThe table number guests see and the printed table card shows
SeatsHow many it holds. Seating more is allowed, and the card turns red.
Name (optional)Like The Cohen Family. Prints under the number.
Zone (optional)Auto-seat and seating rules read it. Sponsors go to a zone named Front first.
LockedAuto-seat leaves this table as it is
Notes (optional)For your team, like near the stage or wheelchair access

Under the fields, the panel lists who's sitting there.

Remove a table

Select it and click Remove table. Anyone at it goes back to Unseated. Undo in the top bar puts the table and its guests back.

Good to know

  • Each table card shows its number, name, a fill bar, and Over by when it has too many guests.
  • Sponsors whose level includes a table, and bundles that reserve one, get their tables made for them. See Sponsor tables.
  • On a phone, the editor shows the tables as a list, and each opens in a sheet.
  • Once Gala closes, the editor opens read only, as Open seating.
