Seating at the door

On a Gala event, live check-in shows each guest's table when their ticket is scanned, and Find your table lets an escort desk look up anyone's table by name.

Gala
On this page

On a Gala event, the door knows where everyone sits. When a ticket is scanned at live check-in, the result shows the guest's table. And Find your table turns a phone or tablet into an escort desk: type a name, and the table number shows large enough to read across the desk.

Who can see tables at the door

Anyone who can check guests in, Door staff included, sees every guest's table. Door staff still don't see emails, phones or money.

The door shows tables as soon as anyone is seated, whether or not you've published the seating. Publishing decides what guests see on their own tickets, not what your team sees.

When a ticket is scanned

  • The scan result shows the guest's table, with its name when it has one.
  • The guest's sheet, opened from the guest list, shows their table too.
  • If you chose At check-in under When guests see their table, the scan is also the moment the table appears on that guest's own ticket page.

Find your table

  1. 1
In live check-in, open the menu (the three dots).
  2. 2
Click Find your table. It shows once at least one guest is seated.
  3. 3
Type the guest's name. Matches show with their table number in large type.

It searches people who are coming. A guest with no table says so, so the desk knows to send them to you.

To open check-in straight on Find your table, add ?find=1 to the check-in address on the escort desk's device.

When seats change during the evening

Live check-in reads the tables again as it refreshes the guest list, so a move you make in the seating editor reaches the door without anyone reloading.

Good to know

  • Seating at the door works with live check-in on any phone or tablet. See Scan tickets.
  • Check-in on a Gala event works on any plan while Gala is open.
When
When guests see their table is At check-in
Then
Each ticket page shows its table only once that ticket is checked in, and the Your table email isn't sent. Door staff see every table either way.
When
Someone has the Door staff role
Then
They see names, ticket types and check-in status, and check guests in. They never see emails, phones, orders or money.
