Connect Salesforce

Sign in to Salesforce from Settings, Integrations. Ovante then acts as that Salesforce user, with exactly that user's access.

Connecting Salesforce sends every registration, check-in and contact change it hears to your Salesforce org as it happens. You sign in to Salesforce once, and Ovante works as that Salesforce user from then on.

Before you start

  • Connecting needs Pro, and only the org's owner can do it.
  • Decide which Salesforce user Ovante should act as. Ovante has exactly that user's access, nothing more. To give it less, sign in as a user with less.
  • That user needs to create and update Contacts, or Leads if you'll write Leads. To track events as Campaigns, the user needs Campaign access, which Salesforce gives through the Marketing User setting on the user's record.

Connect

  1. 1
    Open Settings → Integrations.
  2. 2
On the Salesforce card, click Connect.
  3. 3
Read what Ovante writes and reads. If your Salesforce org is a sandbox, tick This is a sandbox org.
  4. 4
    Click Continue to Salesforce.
  5. 5
Sign in to Salesforce as the user you picked, and approve the connection.
  6. 6
Salesforce sends you back to the Salesforce page in Ovante. The top row says Connected, the Salesforce user, and Production or Sandbox.

What a new connection does

SettingStarts as
Update a contact when…Email matches
Create a new contact…in all other scenarios
When updating a contact…overwrite fields
Salesforce objectContacts
Track attendance as CampaignsOn
Log donations as Salesforce Tasks and Log purchases as Salesforce TasksOff

Change any of them on the Configure tab and click Save changes.

Contacts or Leads

Salesforce object, at the top of Contact field mapping, picks where Ovante writes people: Contacts or Leads. It locks once any person is linked to a Salesforce record, because switching would orphan every link. To switch after that, disconnect and connect again.

Check it

Open the menu on the top row and click Test connection. Ovante signs in, checks that the user can create and update the records it writes, and says how many people are linked so far. It reads none of your records to do it. If it says Salesforce is reachable, but read-only, nothing will sync until a Salesforce admin gives that user access, or you reconnect as another user.
