Run an invite-only event

Guests can register only through a host's link or by typing a host's access code. Each host can have a limit on how many tickets their code lets in.

On this page

An invite-only event shows its page to anyone with the link, but only guests who come through a host can register. A guest uses a host's link, or types the host's access code on the page, and the registration is credited to that host.

Before you start

  • Invite only needs Pro, or an event with Gala. On Free, Invite only shows "(Pro)" in the picker and can't be picked.
  • You'll need hosts. Every host's code works as an access code.

Make the event invite-only

  1. 1
In the event, open Settings → General.
  2. 2
Under Registration, set Who can register to Invite only.
  3. 3
    Click Save changes.

You can set the same picker in Edit event, under Status.

Give out codes

  1. 1
Open Outreach → Hosts and add a host for each person who invites guests.
  2. 2
In each host's sheet, set Invite limit to cap how many tickets their code can let in, or leave it blank for no limit.
  3. 3
Share each host's link, or their Access code from the Referral link card.

What a guest sees

A guest who arrives through a host's link can register as usual.

Anyone else sees the whole page, with a box in place of the button: the event is by invitation, an Access code field and Unlock. A wrong code says it isn't valid for this event. When a host's limit is reached, the page says that host's invitations are full. The floating button at the bottom of the page reads Enter access code and scrolls back to the box.

Good to know

  • Nothing is remembered on an invite-only event. A guest who comes back later without the link types the code again.
  • The invite limit counts tickets credited to the host, the host's Registrations.
  • Checkout refuses an order with no valid code, even if someone gets past the page.
  • Being invite-only and being on your calendar are separate. An invite-only event can still be listed; it shows as Invite only, without prices.
  • A gift without a ticket, on an event that takes gifts from people who can't attend, needs no code.

The rules behind this page

When
Who can register is Invite only
Then
A guest checks out only through a host's link or with that host's access code, and only while the host's Invite limit has room. The code credits the order to that host.
When
A guest arrives through a host's link
Then
Their order is credited to that host. On an event anyone can register for, the device remembers the latest host for 7 days, so a later visit without the link still credits them.
