What hosts do
A host is a person with their own link to your event. Every visit and ticket that comes through the link is credited to them.
On this page
A host is a person with their own link to your event. When someone opens the link, the visit counts toward that host, and so does every ticket bought on it. Hosts are how you see which board member, table captain or volunteer filled the room.
What a host has
- A link. The event page's address with the host's code on the end (
?ref=and the code). The link stays the same when you edit the host. - An access code. The same code on its own. On an invite-only event, guests can type it on the event page instead of using the link.
- Emails. A host with an email gets their link when you add them, and a note each time someone registers through it.
- A card on your event page, under Hosted by, with their photo and profile. You can hide any host, or the whole section.
- A Hosting dashboard, when the host is a member of your organization. It shows their rank, their numbers and who registered.
What you see
In the event, open Outreach → Hosts. Each row shows the host's Visits, Registrations and Conversion. Click a host to open their sheet, which adds Revenue and the list of people who bought through their link.
| Number | What it counts |
|---|---|
| Visits | Visits that came through the host's link |
| Registrations | Tickets credited to the host. A request counts once you approve it. |
| Conversion | Checkout orders divided by visits |
| Revenue | What the tickets credited to the host sold for |
Hosts and invite-only events
When Who can register is Invite only, a guest needs a host's link or access code to check out. Each host can have an Invite limit: how many tickets their code can let in. See Run an invite-only event.
Hosts on a Gala event
An event with Gala has no plain hosts. The people with links are your committee, and you add honorees beside them. See Honorees and the committee.
The rules behind this page
- When
- A guest arrives through a host's link
- Then
- Their order is credited to that host. On an event anyone can register for, the device remembers the latest host for 7 days, so a later visit without the link still credits them.
- When
- Someone opens an event page
- Then
- It's a page view. It's also a visit when that device hasn't viewed the event in 30 minutes, or arrives through a different host's link.
- When
- You add someone who already hosts the event
- Then
- Ovante refuses: one host link per person per event, matched by contact, member account or email.
- When
- An event has Gala
- Then
- Every host on it is a committee member, listed by name below the sponsors instead of as a portrait card. Honorees get the portrait cards.
