Mark a pledge as paid

When a pledged check, transfer or cash comes in, mark the pledge as paid. It becomes a gift that reaches Transactions, the Donations page, the contact and your CRM.

A pledge is a promise until the money arrives. When it does, mark the pledge as paid: Ovante records the payment and turns the pledge into a real gift, so it shows up everywhere your money does.

Before you start

Find the pledge in Pledges on the Appeal page, under To collect. See Pledges.

Mark it paid

  1. 1
In the event, open Fundraising → Appeal and scroll to Pledges.
  2. 2
Open the pledge's menu and click Mark as paid.
  3. 3
Pick Paid by and the Date received, and add a Check number or Reference if you have one.
  4. 4
Click Mark as paid. A toast says the pledge is recorded as a gift, and it moves to Paid.

What Ovante records

WhereWhat appears
TransactionsA new transaction for the gift, paid offline
DonationsThe gift, as an appeal gift
The donor's contactThe gift, in their giving
Your CRMThe gift, like any donation
Raised on the OverviewThe amount, under Appeal

The payment is offline, so it carries no processor fee and no Ovante fee.

Undo a mistake

Marking paid can't be reversed from the Pledges list. Open the pledge's menu, click Open transaction, and use Record refund there. That takes the gift back out of your totals.

Good to know

  • Ovante records the pledge's full amount. The dialog has no amount to change.
  • A pledge waiting for review, or a cancelled one, can't be marked paid.
  • Once Gala closes, Mark as paid is gone. Record payments while Gala is open.
When
You mark a pledge as paid
Then
Ovante records an offline payment and a gift, so the money reaches Transactions, the Donations tab, the contact and your CRM. Until then a pledge is a promise and none of those count it.
When
You record a payment you collected yourself
Then
It carries no processor fee and no Ovante fee, on any plan.
When
A gift is refunded
Then
It leaves Transactions, Recent transactions and every money total, and the donor's contact stops counting it.
