Record a payment later

Record payment adds money you collected to an order that has none yet, like a comp who paid afterwards or a free registration paid at the door.

When someone pays you after their order already exists, record it on that order. It stops reading Free and becomes Paid, and the money counts toward the event's revenue.

Which orders can take it

Record payment appears on an order that:

  • has no payment on it yet, so its status is Free,
  • still has at least one ticket that isn't Not going, and
  • isn't a request.

An order the buyer chose to pay by check or Zelle at checkout uses Mark as paid instead. See Mark a pay-later order as paid.

Record the payment

  1. 1
In the event, open Guests → Orders and click the order. You can also open it from Transactions.
  2. 2
Click Record payment. In the drawer it's on the status card and in the menu; on a transaction's page it's at the top.
  3. 3
Pick Paid by and set Date received.
  4. 4
Check Amount for tickets. It starts at the list price of the order's tickets; a lower amount is recorded as a discount.
  5. 5
Add a Check number or Reference if you have one, and any Donation that came with it.
  6. 6
Click Record payment. You see "Payment recorded", and the order reads Paid.

What happens next

  • The order counts toward revenue, with no processor fee and no Ovante fee.
  • Your integrations receive the order again, now with its payment.
  • Ovante doesn't email the buyer.

Good to know

  • On Free, the dialog opens but says "Offline payments are on Pro" and can't record.
  • An order takes one payment. Once it's recorded, Record payment no longer shows.
