Deadlines and reminders

Ovante emails every buyer who still owes something 14, 7 and 2 days before the deadline for it, so you don't have to chase each sponsor by hand. Each email lists everything that buyer's order still owes, with its due date, and links to their order page.

What counts as owed

A buyer owes:

• A logo, when their sponsorship level includes a logo and none is approved yet. A logo sent and waiting for your review isn't owed.
• A journal ad, for each ad that's waiting on content or that you asked them to change.
• Guest names, when their order has seats no one has named.

A sponsor you hid from the event page isn't reminded.

The daily reminders

Each day, for every event whose Gala is open, Ovante checks the three deadlines on Settings → Gala:

• When a deadline is 14, 7 and 2 days away, each order that owes that kind of item gets one email.
• Each of those reminders goes to an order once. A day Ovante missed is caught up the next day.
• If you set a deadline that's already close, the order gets the nearest reminder on the next daily run.
• After the deadline passes, the reminders stop.
• With no deadline set, there are no daily reminders for that kind of item.

Remind all

You can email everyone who owes something now, without waiting for a reminder date:

• On Sponsors, Remind all emails each sponsor who still owes a logo.
• On Journal, Remind all emails each buyer whose ad is still waiting on them.

Ovante asks you to confirm and says how many people it will email. An order you reminded by hand for the same thing a short while ago is skipped, so a double click sends once.

Request changes

When you review a logo or an ad and click Request changes, you write what should change and click Send request. Ovante emails that buyer your note, and the order page shows it beside the item, marked Changes requested. If the email fails, the note still shows on their order page.

Good to know

• Reminders and requests come from your event, in its colors, and link to the buyer's order page. The buyer doesn't sign in.
• Once Gala closes, no reminders go out and the buttons are gone.
