Publish seating
Publish to show each guest their table on their ticket, either right away or only once they check in. Email the Your table message, and later reach only guests whose table moved.
On this page
Seating is a draft until you publish it. Publishing puts each guest's table on their ticket page, and you can email everyone their table at the same moment. You choose whether guests see it as soon as you publish, or only when they arrive.
Choose when guests see their table
In the event, open Guests → Seating, and under When guests see their table pick one. It saves at once.
| Choice | Guests see their table |
|---|---|
| When you publish | On their ticket as soon as you publish, and in the Your table email if you send it |
| At check-in | On their ticket only once it's scanned at the door, so the table is news when they arrive |
With At check-in, Ovante doesn't offer the Your table email, since it would give the table away early. Door staff see every table either way.
Publish
- 1On Seating, click Publish seating. It's available once at least one guest is seated.
- 2Leave Email guests their table ticked to send the Your table email now; the box says how many guests it will reach. Untick it to publish quietly.
- 3Click Publish. The row now reads Published with the date, and a toast confirms it.
Email guests their table later
After you move people, click Email guests their table on Seating. Ovante emails only guests whose table is new to them: anyone already told their current table gets nothing. When everyone already has their table, it says so.
Unpublish
Click Unpublish and confirm. Guests stop seeing their table until you publish again. Emails already sent can't be taken back.
What guests see
- Their table number, and its name if it has one, on their ticket page, and on the ticket image they save.
- The Your table email, one per email address, with their table and a link to their ticket.
Good to know
- Moving a guest after you publish updates their ticket page at once. Send Email guests their table to tell them.
- The seating editor's top bar shows Published or Draft.
- Once Gala closes, you can't publish, unpublish or send.
- When
- When guests see their table is At check-in
- Then
- Each ticket page shows its table only once that ticket is checked in, and the Your table email isn't sent. Door staff see every table either way.
