Track events as Campaigns
Each event becomes a Salesforce Campaign and each attendee a Campaign Member, Registered, Attended or Cancelled, with the Campaign's status following the event's dates.
With Track attendance as Campaigns on, Ovante makes a Salesforce Campaign for each event the first time someone registers, and adds each attendee as a Campaign Member. It's on for every new connection.
Before you start
The Salesforce user you connected as needs Campaign access, which Salesforce gives through the Marketing User setting on the user's record. Without it, Campaigns don't sync, people still do, and History says what to change in Salesforce.
Set it up
- 1Open Settings → Integrations, and click Open on the Salesforce card.
- 2Under Events, turn on Track attendance as Campaigns.
- 3Leave Nest under an "Ovante Events" parent Campaign on to keep every event Campaign under one parent, or turn it off.
- 4To mark the Campaigns' names, turn on Add a prefix to Campaign names and type the prefix, such as "Ovante:".
- 5Click Save changes. The next registration creates its event's Campaign.
What each Campaign holds
| In Ovante | In Salesforce |
|---|---|
| The event | A Campaign named after it, with its start and end dates and a link back to the event in Ovante |
| A guest registers | A Campaign Member with status Registered |
| The guest is checked in | Attended |
| The check-in is undone | Back to Registered |
| The ticket goes to Not going, or is refunded | Cancelled |
The Campaign's own status follows the event's dates: Planned until the event starts, In Progress while it runs, Completed after it ends. Ovante updates it as those times pass, whether or not anyone registers.
Good to know
- A prefix applies to Campaigns Ovante creates from then on. Existing Campaigns keep their names.
- If a Campaign for the event already exists from an earlier connection, Ovante finds it by its name and description and adds to it, rather than making a second one.
- Every event syncs. There's no switch on an event to keep it out. See Turn off CRM sync for one event.
- A request reaches the Campaign only once you approve it. A ticket nobody has named joins once someone names it.
- With Track attendance as Campaigns off, registrations and check-ins aren't sent, and Bring in past events isn't available.
